Job Duties
• Coordinate end-to-end administrative and logistics activities supporting operational personnel, including crew movements, rotations, mobilisation and demobilisation across multiple countries.
• Plan and manage personnel travel arrangements for crew changes, including flights, accommodation, ground transportation and mobilisation requirements, while maintaining accurate travel and rotation schedules.
• Maintain and coordinate personnel rotation plans, work schedules, crew availability, mobilisation dates and operational assignments to ensure adequate personnel coverage.
• Review, validate and maintain employee timesheets, working hours, rotation records and supporting documentation prior to approval and processing.
• Maintain structured personnel, mobilisation, logistics and operational databases, ensuring information is accurate, complete and available for management reporting.
• Develop and maintain tracking systems using Microsoft Excel, SharePoint, Microsoft Lists and other Microsoft 365 applications to improve administrative efficiency and data accuracy.
• Utilise Microsoft Copilot and Copilot Studio to create, configure, test, deploy and maintain AI agents supporting administrative and operational processes.
• Identify repetitive processes suitable for automation and develop digital solutions using Power Automate, Copilot Studio, SharePoint and Microsoft 365.
• Develop and maintain automated workflows for notifications, approvals, data collection, personnel movements, travel coordination, timesheet tracking and routine administrative processes.
• Create and maintain Power BI dashboards providing visibility of logistics, personnel rotations, travel status, timesheets, operational activities and performance metrics.
• Consolidate information from multiple data sources into structured databases, automated reports and management dashboards.
• Support development of integrated digital solutions connecting Microsoft Forms, SharePoint, Microsoft Lists, Power Automate, Copilot Studio, Teams and Power BI.
• Replace manual spreadsheets, emails and repetitive administrative activities with structured databases, automated workflows, AI agents and dashboards.
• Provide administrative and logistics support to operations and management, including reports, presentations, schedules, trackers and management information.
• Coordinate with operational teams, supervisors, employees and stakeholders to ensure timely and accurate personnel, logistics and administrative information.
• Maintain accurate records and ensure proper handling of personnel, travel, operational and business information.
• Promote safety awareness, environmental responsibility and compliance with Health, Safety and Environmental (HSE) requirements.
• Participate in continuous improvement initiatives focused on digitalisation, automation, data quality and reducing manual administrative workload.
Qualifications
- Diploma, Bachelor’s degree, or equivalent experience in Business Administration, Logistics, Information Systems, or related field.
- Proven experience in administration, personnel logistics, crew rotations, travel coordination, and scheduling across multi-country operations.
- Advanced Microsoft 365 skills: Excel, SharePoint, Microsoft Lists, Teams, Outlook, and Forms.
- Strong Power Platform expertise: Power Automate, Power BI, Microsoft Copilot, and Copilot Studio.
- Experience developing AI agents, automated workflows, approval processes, and data-driven business solutions.
- Skilled in designing and maintaining databases and data repositories for operational and management reporting.
- Ability to build interactive Power BI dashboards and convert operational data into actionable management insights.
- Strong knowledge of data quality, validation, data structures, and master data management.
- Excellent organizational and multitasking skills, managing personnel movements, schedules, rotations, and administrative activities simultaneously.
- High attention to detail when handling timesheets, personnel records, travel arrangements, schedules, and operational data.
- Ability to work independently, identify process inefficiencies, and implement digital, automation, and AI-driven solutions.
- Strong written and verbal communication skills with the ability to collaborate effectively with operations teams, management, and cross-functional stakeholders.
